Which visa-related cases are covered by trip cancellation insurance
Depending on the terms of a specific policy, the following situations may be treated as insured events:
- an official consular refusal to issue a visa – one of the most common risks included in trip cancellation insurance programs;
- delayed visa issuance;
- refusal of entry into the destination country;
- visa refusal for a spouse, minor child, or travel companion.
Trip cancellation insurance does not cover every visa-related problem. It covers only the circumstances expressly listed in the insurance contract. The same situation may therefore be covered by one insurer and treated as an exclusion by another. Before buying a policy, check which visa risks are included in the program and under what conditions a payout is available.
Certain countries may be excluded from coverage. Even if the policy provides compensation for failure to obtain a visa, this does not mean that the risk applies to every destination. Insurers may separately list countries for which visa refusal is not considered an insured event. Before buying a policy, check both the list of insured events and the list of exclusions.
What documents are needed for a payout in case of visa refusal
To receive a payout, you must confirm the visa refusal, the travel expenses, and the fact that these expenses cannot be recovered in full. The exact list depends on the terms of the specific policy, but insurers usually ask for the following documents:
- an official consular document confirming refusal to issue a visa – for example, a letter or certificate with the applicant’s details and the refusal date;
- international passport – the original or copies of all pages; if the refusal is marked with a stamp, it can also confirm the insured event;
- a document confirming that visa documents were submitted – for example, a certificate showing the submission date and the list of documents submitted to the consulate;
- the insurance policy or information about the concluded insurance contract;
- an insurance payout application with bank details for transferring the money;
- travel documents and proof of expenses – a contract with a tour operator, tickets, hotel bookings, payment documents, and information about the amount refunded after the trip was canceled;
- documents confirming family relationship, if the insured event occurred with a spouse, child, or other relative and this is covered by the policy.
A simple statement that the consulate refused the visa is usually not enough. The insurer needs documentary confirmation of the insured event and the amount of actual unreimbursed expenses.
When the insurance company may refuse a payout
Even if the visa was not issued, this does not automatically mean that compensation will be paid. The insurer checks whether the situation meets the contract terms and whether it is confirmed by the required documents. A payout may be refused if:
- the applicant filled out the visa documents incorrectly – for example, made mistakes in the application form or failed to provide the required certificates;
- the visa documents were submitted late;
- the tourist does not have official confirmation of the consulate’s refusal. For some programs, a verbal notice or information from a personal account is not enough; an official refusal document is required;
- entry was refused because the document package required to cross the border was incomplete;
- the tourist canceled the trip voluntarily, although no insured event occurred;
- the tourist failed to take the actions required by the contract after the insured event occurred. For example, they reported the situation later than the period specified in the contract;
- the expenses were already fully refunded by the tour operator, airline, hotel, or another service provider. Insurance compensates the actual unreimbursed loss, so the documents must confirm both the expenses and the amount already refunded.
Important: you cannot buy insurance after a visa problem has already occurred. Many programs set deadlines for purchasing the policy and may include additional restrictions.
A Russian visa is a separate case. Receiving a payout if a Russian visa is not obtained may be difficult if the policy rules require documentary confirmation of the refusal. Russian consular institutions have the right not to inform the applicant of the reason for refusing a visa.
Before buying insurance, ask the insurer which document it accepts as proof of refusal specifically for a Russian visa. If it is impossible to confirm that an insured event occurred, a payout may not be available.
What to do if the visa was not issued on time
If the consulate did not issue the visa by the start of the trip, first check the terms of your insurance: delayed visa issuance is not covered by every policy. For example, this risk is included by Rosgosstrakh and SOGAZ. At the same time, insurers set additional requirements: in particular, visa documents must be submitted on time and in full. If this risk is included in your policy, use the following algorithm.
1. Check whether the visa delay is an insured event
Review the insurance rules and make sure they mention delayed visa issuance, not only an official refusal.
2. Obtain confirmation from the consulate
Ask the consulate or visa center to provide a document confirming the application submission date and the actual visa issue date. If an official document is not issued, keep any other available proof of the application review. The insurer needs confirmation of the delayed visa issuance.
3. Do not delay canceling the trip
If the visa delay means that the trip is no longer possible, contact the tour operator, airline, and hotel and cancel or reschedule the bookings. Most often, this must be done no later than two days after the event that prevents the trip.
4. Collect documents confirming your expenses
In addition to proof of the visa delay, the insurer will need travel documents, proof of payment, and information about the amount already refunded by the tour operator, carrier, or hotel.
5. Submit an insurance payout application
The insurer will reimburse only the expenses covered by the specific contract.
